Aftercare Policies

1. Hours of Operation

  • Program Hours: The Les Petites Pommes Afterschool Care Program operates from 3:45 PM to 6:00 PM, Monday through Friday.
  • Cootes Paradise Elementary School Pick-up: Pick-up from Cootes Paradise Elementary School occurs between 3:25 PM and 3:40 PM. Please ensure your child is ready for pick-up during this window.

2. Billing and Payment

  • Billing Schedule: Billing for each month will occur on the 25th of the preceding month. Payment must be submitted by this date to continue to secure your child’s spot in the program. 
  • Cancellation Policy: To cancel your child’s aftercare spot, please inform staff before the 25th of the month. No partial refunds will be given.
  • Refund Policy: Once the month has begun, there will be no refunds or credits for missed sessions or cancellations.

3. Illness and Absences Policy

  • Reporting Illness or Absences: If your child is ill and/or will not be attending the aftercare program for whatever reason, please notify us at least 3 hours prior to the scheduled pick-up time. You can:

    • We will confirm receipt of your message.
  • During Program Illness: If a child becomes ill during the program, we will contact the primary and secondary contacts to arrange for the earliest possible pick-up.
  • School Absence: If your child does not attend school due to illness, we ask that they also refrain from attending the afterschool program to prevent the spread of illness.
  • Planned Absences: No partial refunds or credit will be given for planned absences like vacations etc.

4. Authorised Pick-Up

  • Permitted Individuals: Les Petites Pommes will only release children to individuals who are listed on the authorised pick-up list. Changes or additions to this list must be communicated to the staff in advance.
  • Pick-Up Protocol: For pick-up, please ring the front buzzer at Temple Anshe Sholom. You will be asked to identify yourself, after which the door will be unlocked. Proceed to the aftercare room and sign out your child by initialling the sign-out form.

5. No-Show Procedure

  • Pick Up At Cootes: If your child does not arrive at the pick-up area at Cootes Paradise Elementary School between 3:30 PM and 3:40 PM, our staff will proceed to Temple Anshe Sholom to care for the other children in the program. Upon returning, staff will contact the families of absent children to confirm their absence. Please note that Les Petites Pommes cannot be held liable for any children who are not handed off into our care by a responsible adult.

6. Injury Reporting

  • Minor Injuries: In the event of a minor injury, staff will administer first aid and inform parents at pick-up.
  • Moderate to Severe Injuries: In the event of a more serious injury, Les Petites Pommes will provide a written injury report detailing the incident, treatment provided, and any necessary follow-up. Injuries sustained prior to the program will also be noted and communicated to parents.

7. Late Pick-Up

  • Late Pick-Up Policy: Parents must pick up their children by 6:00 PM. A late fee of $10 per minute will be charged for any pick-up after 6:00 PM. This fee is due within 5 days of the infraction. Consistent late pick-ups may result in the removal of your child from the program.
  • Staff Commitment: Please note that many of our staff members continue their evening with individual tutoring sessions. We appreciate your punctuality to ensure the smooth operation of our programs.

8. Behaviour Expectations

  • Expectations: We expect all students to behave in a respectful and cooperative manner. Bullying, aggressive behaviour, or disrespect towards staff or peers will not be tolerated.
  • Consequences: Repeated behavioural issues may lead to temporary suspension or permanent removal from the program. We will work closely with parents to address any behavioural concerns.

9. Emergency Procedures

  • Fire and Emergency Drills: Regular fire drills and emergency procedures will be practised to ensure the safety of all children.
  • Emergency Contact Information: Parents must provide up-to-date emergency contact information. In case of an emergency, staff will contact the listed individuals immediately.

11. Nutrition Policy

  • Snacks: At the moment, our program does not include any additional snacks or food. It is recommended you pack your child with an extra snack to have during aftercare. 
  • Allergy Awareness: Our program is nut-free. Please ensure that any food brought from home adheres to this policy.

12. Attendance Policy

  • Notification of Absences: Parents must inform the program if their child will be absent on a scheduled day. Frequent unnotified absences may result in a review of the child’s enrollment in the program.

13. Weather and other events that may prevent aftercare:

  • Inclement Weather and Snow Days : Please note that our program will generally follow the Hamilton Wentworth District School Board Weather decisions. If there is no school or school cancelled at mid-day, there will be no aftercare. No refunds are provided in the event of inclement weather. 
  • Pandemics and Other Events Preventing Camp: In the event of floods, pandemics or other events that prevent aftercare, no refunds will be provided.

By enrolling in the Les Petites Pommes Afterschool Care Program, you agree to adhere to these policies thereby ensuring a safe, supportive, and enjoyable experience for all participants.
